- Purpose & Impact – This role helps strengthen communication and networking among human service agencies on the Outer Banks, ensuring better support for local families
- Skills & Qualities Needed
- Comfortable with basic email marketing platforms (Mailchimp experience a plus)
- Organized and detail-oriented
- Good written communicator and team player
- Reliable and able to attend quarterly meetings on four Fridays each year
- Time Commitment – Approx. 2-4 hours per month, plus attendance at four 1.5 hour meetings per year
- Location & Meeting Details – You can do coordinating from home or from our office; the meetings take place at host agencies throughout Dare County
- Support & Supervision – Report to the Executive Director and collaborate with agency partners

- Purpose & Impact – Sharing stories of our beneficiaries enables the Relief Foundation to educate people about our work. The other audience is our current donors. We want them to know about the positive difference they are making. In effect, you are the intermediary helping the donors feel connected to the people they want to assist. It is a very special role.

- Comfortable interviewing people
- Discrete and empathetic since people are sharing delicate information
- Good written communicator
- Time Commitment – Approx. 3 hours per week; but not necessary to work every week

- Purpose & Impact
The Event Support Administrator plays a key role in ensuring the smooth planning, execution, and follow-up of the Relief Foundation’s signature fundraising event. By managing sponsor communications, preparing auction materials, supporting volunteers, and coordinating essential logistics, this role directly contributes to a successful event that raises critical funds for Outer Banks families in need.Key Responsibilities Include:
Pre-Event (February – May, ~10 hrs/week)- Write, print, and mail sponsorship letters and invoices.
- Create sponsor packages and track sponsor payments in Excel.
- Collect digital logos from sponsors and provide to program designer.
- Prepare auction solicitation documents and print for committee members.
- Enter auction donations into auction software.
- Provide administrative support to Couture volunteers.
Event Week (May 4 – 9, ~40 hrs/week)
- Print bid sheets and event signage.
- Gather, organize, and transport all event supplies to DWCC.
Post-Event (May 11 – 31, ~10 hrs/week)
- Assist bookkeeper with final financial reporting.
- Send all guest thank-you emails/letters.
- Send auction donor receipts and buyer acknowledgements.
- Prepare Beg-A-Thon tax letters.
- Follow up with auction winners for payment or item pick-up.
- Draft and circulate post-event press release.
- Support Rachel with post-event social media.
- Save event photos from to the Relief Foundation server.
- Skills & Qualities Needed
- Strong organizational and administrative skills.
- Excellent written communication skills.
- Proficiency with Microsoft Excel and general office software.
- Ability to manage multiple deadlines and maintain accuracy.
- Comfort entering data into auction management software (training available).
- Ability to work independently while collaborating effectively with staff and volunteers.
- Professionalism, reliability, and strong attention to detail.
- Time Commitment
- February–May: Approximately 10 hours per week prior to the event.
- Event Week: Additional hours may be required for preparation, printing, and supply delivery.
- Post-Event: Time needed to complete acknowledgments, reporting, and communications.
- Location & Meeting Details
- Work may be completed remotely or at the Relief Foundation office.
- Occasional in-person meetings with staff or volunteers may be required.
- Must be able to transport supplies to DWCC during event week.
- Support & Supervision
- The Event Support Administrator will be supervised by the Managing Director.
- Collaboration with the bookkeeper, program designer, volunteers, and staff is expected.
- Training and guidance on processes, platforms, and expectations will be provided.
